Lesson 4 of 10 · 7 min
Set up your messaging flow
Decide which template each guest receives, when, and on which channel.
What you'll learn
- Add a scheduled message rule for a building
- Target bookings from specific OTAs
- Hold a message until the deposit is paid or guest info is received
The messaging flow sends your templates to every incoming guest on a schedule, so you stop sending the same messages by hand.
Add a rule
- Go to the building's management page and open its Flow.
- Select + to start a new rule.
- Choose which units it applies to: one unit, or all units in the building.
- Choose the channel, for example WhatsApp.
- Configure the message:
- Journey status: booking confirmation, check-in or checkout. This decides what the timing below is measured from.
- Schedule: how many days before or after, or on the day, and at what time. For example, "Day of" + check-in sends on the check-in day.
- Template: the template to send. This is why clear template names matter.
- OTA filter: tick the booking platforms this message is for (for example Booking.com). Guests who booked through an OTA you didn't tick won't receive it.
- Gate condition (optional): hold the message until the guest has paid the deposit and/or submitted their info. For example, you might not want to send check-in instructions to a guest who hasn't paid the deposit or sent their ID.
Gate conditions are set in two places
Ticking Require deposit before sending or Require information before sending in the flow only takes effect if that OTA is also marked as requiring a deposit or info on the building:
- Go to Buildings and select Edit building.
- Tick the OTAs that require a deposit or info.
How StreamHost knows the deposit or info is in
- By hand: once you've checked a guest's deposit, IC or passport, edit the guest and set them to Deposit paid or Info received.
- Automatically: with deposit collection connected, the status changes to "Deposit paid" when the guest pays through the link. With eKYC, it changes to "Info received" when the guest submits the form.
